Privacy Notice

This notice explains what personal information VRXS collects when you visit vrxs.co.uk or book a virtual tour with us, why we need it, who helps us look after it, and the choices you have.

Who we are

VRXS, Flat 1, 540 Heath Way, Shard End, Birmingham B34 6RX, is responsible for your information. For any question about it, email contact@vrxs.co.uk.

What we collect

When you ask for a quote: your name and email and, if you choose to give them, your phone number and the property's address, with details of the space you would like captured.
When you book: your name, email, phone number and the property's address; whether the property is for sale or to let; whether you would like us to host your tour; and any message you add.
When you pay: your phone number and your payment. Payments are processed by Stripe or PayPal, and we do not store your card details.
If you create an account on our site: your sign-in details and your booking history.
When you email us: whatever your message contains.
At your shoot: the 360° photographs of your property that make up your tour.

The fields marked as required are the ones we need to quote for or book your tour; without them, we can't.

How we use it

To answer your quote request and prepare your price. Lawful basis: the steps you ask us to take before a contract.
To take and manage your booking, carry out your shoot, deliver your tour and, if you choose, host it. Lawful basis: our contract with you.
To take payment and keep business and tax records. Lawful basis: our contract with you, and our legal obligations.

We never sell your information, and we never make decisions about you by automated means alone.

Who helps us look after it

Only the services we use to run VRXS, each handling your information for the purposes above:

Wix: our website, its forms, bookings and client records.
Stripe and PayPal: payments.
IONOS and Google: our email (messages to contact@vrxs.co.uk are delivered to our Gmail inbox).
CloudPano: building and hosting your virtual tour.
Atlassian (Jira): our order and job records.
Anthropic (Claude): the AI assistant that helps us manage orders and prepare our messages to you.

If another photographer carries out your shoot for us, they receive your name, phone number and the property's address so they can do it.

Some of these services are based outside the UK, mainly in the United States, so your information may be processed there. Where it is, we rely on the safeguards UK law requires for international transfers, such as adequacy regulations or approved contract terms.

How long we keep it

Quote requests that don't lead to a booking: until it is clear no booking will follow.
Booking, invoice and payment records: six years after the end of the tax year they relate to, as tax law requires.
Your tour and its photographs: while we host your tour, and otherwise until you ask us to delete them.
Everything else: deleted once we no longer need it for the purposes above.

Your rights

You can ask to see the information we hold about you, and to have it corrected or deleted. You can also ask us to limit or stop using it, or to give you a copy to take elsewhere. Email contact@vrxs.co.uk and we will reply within one month, free of charge.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk.

Our site uses only the cookies Wix needs to run it securely and keep your visit working: XSRF-TOKEN, hs, svSession, bSession, ssr-caching, server-session-bind and client-session-bind, plus one Wix session ID kept in your browser's storage. Wix classes each of them as essential. We use no analytics, advertising or social media cookies. Essential cookies don't need your consent under UK law, which is why the site shows no cookie banner. If that ever changes, we will update this notice and the site first.

If anything here changes, we will update this page, and the date at the top will show when.
